Theater Rentals and Application Form

Rental Regulations

1. Eligibility

(1) NTU administrative units, teaching units, and student associations; (2) cultural and educational institutions and organizations outside NTU; and (3) individuals who intend to put on music performances.

2. Application Process 

(1) Units or individuals who wish to book shall submit their applications, at the earlist, at 9:00 AM on the first business day two months prior to the date of use and shall not apply within 7 days before the date of use.  (For example, you want to rent the theater on 7/15, the earliest date you can apply is 5/1 and the latest is 7/8.)

(2) Please make sure that all fields are filled in correctly and your application is complete. If you need to rectify a mistake or update your application, please do so within 7 days of submission. If anything is missing from your application, please provide the outstanding information in the limited window, or your application will be rejected.

For NTU student clubs, organizations, and departments/institutes, please submit the following documents: 

(1) Application form

(2) Photocopy of the activity application form approved by the extracurricular activity group
     (Please see their website's "Club Activities System" and download the form there. 
     After completing the procedures, please submit a copy of their approval to the Center for record-keeping)

(3) Event proposal (event information, number of participants, etc.)

(4) List of self-prepared equipment/props (can be downloaded below) 

For non-NTU entities, please submit the following:

(3) The application form can be filled out in R307 at the FLTC or can be downloaded from the website. If you choose to submit the application form remotely, please email all the documents to Ms. Tang (pctang@ntu.edu.tw). The application form should include your entity's official seal and the responsible perosn's personal stamp. When the rental application is approved by the Center,  pay a deposit of 1000NTD for NTU units and 2000NTD for non-NTU entities. The rental application will be completed after the payment has been received. The payment can be submitted either in-person or by wire transfer. For those who wish to make payment by wire transfer, please email Ms. Tang (pctang@ntu.edu.tw) with your bank account and a proof of payment (a receipt or bank statement) and business administration number for your receipt. 

(4) Please confirm your reservation and make the remaining payment 7 days prior to your reservation, at the latest. Late payments or confirmations will be marked as cancellations and the deposit will not be refunded.  

3. There are 186 seats (including 4 retractable seats). The center may reserve up to 4 retractable seats. Areas eligible for reservations include the stage, lights and audio controls room, seats, restrooms, and both entrance/exit doors. 

4. Theater reservation dates and times are as followed: 

(1) All days Monday through Friday; Saturday times are split into 2 sessions: afternoon and evening 

(2) Rehearsal times are as followed: 1. 9:00AM-12:00PM   2.  2:00PM-5:00PM   3. 6:00PM-9:00PM

(3) Performance times are as followed: 1. 8:30AM-12:00PM   2. 1:30-5:00PM   3. 6:00PM-9:30PM

(4) All other times, including public holidays and maintanence days, are not eligible for reservation unless a special approval is granted by the Center. 

The times above include set-up and cleaning times. If you go over your alloted time, there is a late load-out fee of 300NTD every10 minutes. Less than 10 minutes is still considered to be 10 minutes. If you go over your alloted time by 1 hour, it will be regarded as a reservation for the next reservation slot and will be charged as such. If there is another reservation for the next time slot, you cannot go over 30 minutes past your reservation time. The latest you can go for evening reservations is 30 minutes past your reservation, and evening reservations have to end latest by 10:30 PM (The Center's air conditioning is set to automatically shut off at 9:45 PM). The Center may refuse to grant future registrations for those who do not comply with the regulations. 

5. The use of the stage lighting is limited to pre-configured settings by the Center. Only those who are using the theater for at least 5 consecutive days and have professional experience with stage lighting can apply for permission to change the settings or add lights. 

6. When using the theater, the borrowing unit needs to leave a form of identification with the Center and leave a valid phone number that can be used to contact the unit before noon the next day. The identification will be given back after the theater is returned according to Center regulations.

7. If large cars need to enter school premises during the event, the borrowing unit needs to apply for permission from the school first. Large cars are defined as tourist buses with more than 20 seats, trucks that weigh more than 3.5 metric ons, and heavy construction vehicles.  

8. If you require an on-site inspection, please make an appointment in advance and confirm with the Center's staff during business hours. Three on-site inspections at the maximum are allowed.

Footnotes

  1. Air conditioning, basic lighting, and bathroom are included in the fees.
  2. Basic lighting include controls of 4 lights together. If individual light controls are needed, please also rent stage lights.
  3. Sound equipment rentals include 4-6 microphones (handheld or earpiece).
  4. Microphone only rental is allowed and the sound will be broadcasted through the sound system. 
  5. If needed, wireless walkie-talkies (at most 6) can be rented at no extra cost. 
  6. Preparations are done according to rental times and other times will not be accepted. 
  7. 5:00 PM-6:00 PM is for cleaning. For reservations that take up both the afternoon and evening slots and do not want to be interrupted by the cleaning, it will be an additional 1000NTD (no discount).
